Document Management and the Internet of Things

There is a lot of talk about the Internet of Things, also known by its acronym IoT (Internet of Things), but do we really know what this concept means? When we talk about the internet of things, examples of this concept are the sensors that many gardeners install in their gardens with the aim of measuring the humidity level of the earth and being able to activate the sprinklers when it drops too low, or the smart ovens that they send a message to the chef’s smartphone when the dish is ready. What do all these technologies have in common? That connect the “things”, that is, the instruments that we are used to using in our day to day, to the Internet and this provides us with a series of advantages and benefits.

 

Now, how can the Internet of Things be applied to the business environment?

An innovative company is not only one that develops new products and services for the market, but also one that uses the products and services of new technologies that allow them to be more productive and efficient. In other words, companies that use the Internet of Things and its derivatives like IoT analytics are examples of innovative companies in their processes.

 

In fact, there is a specific term for the business internet of things: EIoT (Enterprise Internet of Things). For starters, the Internet of Things can also be applied to the company’s own infrastructure. To give a simple example, we can control the room temperature we want in our office through a device connected to the internet and, thanks to a thermostat that will also be connected to the internet, so we can know the temperature that we have at all times. We will not have to worry about turning on the heating or ventilating the office when we arrive, since we can do it from anywhere.

 

Perhaps one of the best known applications of the internet of things is related to tracking shipments in real time. Many users who buy online obtain a tracking code from the distributor that allows them to track their order at all times and know where it is and when it is on delivery in their city. This is achieved thanks to a device that accompanies the dealer at all times and in which he can manually enter updated information and thanks to the tracking system installed on the dealer’s website, where the buyer connects to enter the code that they have provided. Again, we see that the same pattern is fulfilled: two devices or systems with an internet connection and connected through the same application.

 

But what about the role of IoT in document management?

 

For the moment, foreign archives, especially those belonging to the North American public administration, are the true masters in the use of the Internet as the main vehicle for intercommunication between the same staff, and for intercommunication with other colleagues from all over the world and with the users.

The internet has also reached the archives. Consult medieval manuscripts, photographs, maps or codex pages, from your own home, without having to travel, to adjust to public opening hours or, even, risk not being able to consult because it says they are being recovered or because other researchers have awakened earlier than us. It is a fact that every day the Internet is getting more and more into our lives.

As in other aspects of the world of documentation, it is fellow librarians and documentaries who have opened our telematics eyes by pioneering the application of this new means of communication and information exchange, the Internet. There are some tools that facilitate the management of their work centers, which optimizes the deployment and use of their own and third-party resources, and which enables the exchange of ideas, information, experiences …, thus generating professional enrichment through constant and direct contact with colleagues from around the world and noticeable improvements in user service.

The location of documents such as articles, magazines, e-newsletters and the possibility of obtaining copies or requesting them on inter-library loans have introduced terms such as “teledocumentation”, “library without walls” or “virtual libraries” among users and professionals.

What are the files on the Internet?

The world of archiving is no exception to the growing trends of the Internet. It is almost certain that from the time of writing of these lines to publication, archival maps with websites, or of other institutions associated with them, will add up with the new presence.

For now, to be honest, foreign archives, especially those of the North American public administration, are a true whiz at using the Internet as the primary vehicle. It is also true that the possibility of owning its own servers and the level of service offered by the archival agency corresponds to the availability of its budget, which in turn tends to go hand in hand with those in territorial administrations.
